This is a special graduation year as Dr. E. P. Scarlett High School turns 50!

Dear Parents and Students:

As coordinator for Dr. E. P. Scarlett High School's Grad 2020, I would like to give you some information regarding the Grad Activities. This information will allow you to plan and budget for this event. First of all, the dates and times for the Grad Activities:

Since these are on the same day please be aware that students and guests are required to remain until the end of the Closing Exercises in the morning. We anticipate the ceremony to be finished by 11:30 am. We do not recommend that you book any hair appointments and such until at least 1:00 pm or you may be late or miss the appointment entirely. Thank you in advance for your cooperation in this matter.

In terms of the School Closing Exercises at The Stampede Corral, parents should be aware of the requirements for being involved in the ceremonies.  Students must:

  1. be enrolled in enough credits to meet the requirements for an Alberta High School Diploma or a Certificate of High School Achievement by June 30, 2020.
  2. have paid the $35.00 Grad Fee (which pays for the activities at The Stampede Corral).
  3. have submitted their grad gown size to the Google form on the school website (this will be done at the beginning of Semester 2).

These requirements must be completed BEFORE March 4, 2020.

The BMO Center has put us into the same hall as last year for the Banquet and Dance. This means that we will be limited to 1400 people and the price will be at least $92 per ticket (last year’s price). You should budget for at least that amount but keep in mind this could increase if the BMO Centre increases their prices for this year.

The Banquet and Dance at the BMO Centre is open to any member of the Grade 12 class and their families. The price includes dinner, dance, use of the BMO facilities and its decorations, beverages before and after dinner (it is a "dry" event). We never know until they send us the menus (usually in late March), what the exact cost will be. Students do not have a reserved ticket for the banquet and must also pay for a Banquet and Dance ticket.

Please be aware that students are not guaranteed tickets to the Closing Exercises or the Banquet and Dance. Tickets must be ordered and printed or picked up during the appropriate dates. This is the student’s responsibility. Please mark the following dates on your calendar:

  •             April 1 - 24, 2020                  Grad Banquet and Dance Ticket Sales   (online sales)
  •             Early May 2020                     Grad Banquet and Dance Ticket Printing   (online printing)
  •             May 5 - 7, 2020                      Closing Exercises Invitation Pick-up  (Lunch Break ONLY)

For the Grad Banquet, no cheques will be accepted. Further information for all of these activities will be presented to the Grade 12 students at two different meetings (including rehearsal for the exercises):

  •             March 13, 2020 (Information Meeting)   During Period 2  (10:01 – 11:03 am)
  •             May 26, 2020 (Exercises Rehearsal)     10:47 – 12:09 (Scarlett Gym)

2.  How do I participate in the School Closing Exercises (Grad Ceremony)?

You must be on the FINAL GRAD LIST to be eligible to participate in the School Closing Exercises.

3.  How do I get on the FINAL GRAD LIST?

To be on the FINAL GRAD LIST the student must meet the following criteria by MARCH 4, 2020:

  • You must be registered in a program of courses that will give you the minimum number of 100 credits, including the five required courses needed to earn an Alberta High School Diploma.  Please check with Student Services if you are not sure.
  • You must have paid your Grad Fees of $35.00.  Please check with the Business Office if you are not sure.
  • You must have submitted your Grad Gown size.  Please check with Mrs. Chaudhry if you are not sure.

3.  How many Ceremony Tickets can I get?

During the first distribution round, each student on the FINAL GRAD LIST is entitled to 3 complimentary Ceremony tickets. 

During the second distribution round, each student on the FINAL GRAD LIST can purchase as many tickets as they need for $1.00 each (until we run out of tickets).

4.  Does the Graduating student need a Ceremony Ticket?

No. If their name is on the FINAL GRAD LIST, the ceremony is for them and they already have a reserved seat. 

If their name is NOT on the FINAL GRAD LIST then yes, they must have a ticket because they are coming as a guest and WILL NOT be participating in the Ceremonies.

5.  How do I get Ceremony Tickets?

The first distribution round is from Tuesday, May 5, 2020, to Thursday, May 7, 2020.  Each student on the FINAL GRAD LIST will go to the appropriate room (designated by their last name and to be announced later) between 12:15 pm and 12:35 pm ONLY to get their first 3 tickets.

The second distribution round is from Monday, May 11, 2020, to Thursday, May 28, 2020 (or until we run out of tickets).  Each student on the FINAL GRAD LIST will go to the designated room(s) between 12:15 pm and 12:35 pm ONLY  to purchase as many tickets as they need for $1.00 each.

6.  Do I have to attend the School Closing Exercises (Grad Ceremony)?

All students on the FINAL GRAD LIST are eligible to participate in the School Closing Exercises but do not have to if they do not wish to. If you are NOT planning to attend then please let Mrs. Chaudhry or Mrs. Williams (in the Math Office) know that you will not be attending so that a Grad Gown is not ordered for you.

7.  How long does the Ceremony last?

The Ceremony usually lasts about 2 to 2 ½  hours. ALL students are required to remain for the entire ceremonies. Since the Banquet and Dance is the same day, we do not recommend booking any hair, nail, etc. appointments until 1 pm at the earliest. It will be closer to noon before you are out of the Corral and out of the parking lot able to get to an appointment.

8.  How many Banquet and Dance Tickets can I get?

During the first round of ticket sales, each Grade 12 student will be limited to 2 tickets each.

During the second round of tickets sales, each Grade 12 student can purchase as many tickets as they need (until we sell out).

9.  What happens if the tickets sell out and I do not have any?

Unfortunately, you do not attend the Banquet and Dance. Round one of ticket sales is the ONLY time to guarantee that each Grade 12 student has the opportunity to purchase a ticket for themselves and one guest. If you do not purchase these 2 tickets at this time then you run the risk of not getting any tickets at all which means you DO NOT attend your own Grad Banquet and Dance. YES WE DO SELL OUT.

3.  Do parents and other guests come to the Banquet and Dance?

Absolutely. The Banquet and Dance is open to all Grade 12 students and their families. Many parents and family members attend the Banquet and Dance every year.

4.  Does the Graduating student need a Banquet and Dance Ticket?

Yes. The Grad Fee only covers the cost of the Ceremonies NOT the Banquet and Dance.

5.  How do I get Banquet and Dance Tickets?

Go to the School Website after Spring Break and click on the link to the ordering package, read through it carefully, and follow the instructions for ordering.

Round 1 of ticket sales begins online Wednesday, April 1, 2020, at 12 pm and ends Sunday, April 5, 2020, at 11:59 pm. During this round, each Grade 12 student will be limited to 2 tickets only. This will guarantee that each Grade 12 student has the opportunity to attend their Banquet and Dance with one guest. This is the ONLY time each Grade 12 student will be guaranteed that a ticket is available for them and one guest to purchase. If you do not purchase these tickets during this time then they are put into the general pool for sale in Round 2 and you are no longer guaranteed tickets.

Round 2 of ticket sales begins online Monday, April 6, 2020, at 12 pm and ends Friday, April 24, 2020, at 6 pm (or sooner if we sell out). During this round, each Grade 12 student can purchase as many tickets as they like (first come, first served as long as tickets are available).

6.  What if I am having financial problems and purchasing tickets may be a problem?

You MUST see Mr. Marquis (in the Main Office) as soon as possible to discuss your options. This must be done WELL BEFORE the website opens or there may not be anything we can do for you.

7.  Where can I find the online link to order Banquet and Dance tickets?

Go onto the School Website after Spring Break and click on the ordering package, read through it carefully, and follow the instructions for ordering. The URL is found in the ordering package.

8.  What if I do not want to order tickets online?

Ordering online is the best way to get tickets. Otherwise you must see Mrs. Williams (in the Math Office) as soon as the ordering site opens to discuss your options. You will still have to enter your information online otherwise you will not have tickets. Please see Mrs. Williams before attempting this.

9.  Do I have to attend the Grad Banquet and Dance?

No. You do not have to attend the Grad Banquet and Dance. It is open to all Grade 12 students and their parents and family.

10.  Can I just attend the Grad Dance and NOT the Banquet?

Yes, Dance-only tickets are available and can be ordered online as well. The ordering package can be found on the School Website after Spring Break - read through it and follow the instructions for ordering. The URL is found in the ordering package.

11.  How late does the Banquet and Dance go?

The DJ is paid to play until midnight but we will shut the event down earlier if most people leave. The DJ gets paid the full amount whether they play for one hour or three hours. Get your money’s worth and stay for the evening.
